A potential owner is an user that belongs to a user group that can work on the task. The potential owners for tasks depend on the selected tasks and your task definitions.
To work on a task, you claim the task. You can only claim tasks for which you are a potential owner. The
Available Tasks
tab of the Task Manager shows all the unassigned tasks for which you are a potential owner.
You can assign or reassign tasks to users who are potential owners of the task. When you assign or reassign multiple tasks, the possible assignees are the potential owners shared by all the selected tasks.
For example, you might want to reassign a review task for the Philips Business record and a merge task for the Phillips Private record. The potential owners for review tasks are users assigned the Commodity Manager role, Finance Manager role, or Contract Manager role. The potential owners for merge tasks are users assigned the Contract Manager role and Commodity Manager role. When reassigning these tasks together, the potential owners are users assigned the Contract Manager role or Commodity Manager role.
If you are assigning or reassigning a variety of tasks, there might be no potential owners shared by all the tasks. To increase the amount potential owners, manage tasks of the same task type. For example, you might want to manage merge tasks.
If you and your colleagues require different user roles, task definitions, workflow triggers, or ActiveVOS workflows, contact your MDM administrator. The MDM administrator can change your configurations.
