Data Privacy FAQ

I have some records retired to my application, but I am not able to see those records in Data Privacy Search.

For records to be visible in Data Privacy Search, you must have access to the Data Vault folder and the related tables must be indexed.

How does job execution in batches work?

The Data Privacy Batch standalone job triggers jobs (Export, Export and Purge, Purge in that order) based on the search subjects with a "Not Executed" status in the
Manage Data Privacy
page.
All of the similar actions (Export, Purge, Export and Purge) are grouped into one job. For example, if there are two search subjects for the Export action, Data Archive triggers one Data Privacy Export job to process these two search subjects. The same applies for other actions.

Does the time required for the Data Privacy Purge and Data Privacy Export and Purge jobs depend on the number of table rows?

Yes. The amount of time required for these jobs depends on the number of rows in a table because Data Archive re-indexes the purged table. It does not depend on the number of records being purged.

Why do I see a difference in the row counts in the "Data Privacy Search" and the "Search in Data Vault" pages?

If there are records in the indexes that were created before 6.4.4 Data Privacy EBF12307 and if they are not re-indexed after you upgrade to the latest version, there is a difference in the row counts.
To fix this issue, after you upgrade to the latest version, run the Re Index on Data Vault standalone job on the specific application, or run the job on all applications (ALL CONNECTIONS).

The Create Indexes on Data Vault or Re Index on Data Vault job is failing with the exception "java.sql.SQLException: read/write operation failed." What should I do?

When you run the Create Indexes on Data Vault job, Data Archive runs multiple threads in parallel. Each thread fetches indexed column data from Data Vault. If the fetched data consumes more memory and the system memory is exhausted, you might face this issue. Use one of the following workarounds:
  • Configure "informia.maxActiveIndexThreads" to 1. This creates a single thread to process tables in sequence.
  • Increase the system memory.

Which records are purged from Data Vault when I run “Data Privacy Export and Purge” or “Data Privacy Purge?”

Records that match the search subject and are not on legal hold will be purged. For “Data Privacy Export and Purge,” the .zip file created in the "export" job step contains the records that will be purged. For "Data Privacy Purge," the data present in the .pdf files in "Review Data Privacy Validation" will be purged.

I upgraded to the latest version. I can access Data Privacy Search, but I cannot see any applications under the "Choose an Application" drop-down. What do I do?

Run the Re Index on Data Vault standalone job. The corresponding applications will be visible.

I upgraded to the latest version. I can access Data Privacy Search, but I see the message "The Search Index is not up to date. The Data Archive Administrator must refresh the search index for the following application:", followed by application names. What do I do?

Run the Re Index on Data Vault standalone job for the specified applications or on all connections.

I have BLOB data in my table. Can I export the BLOB data using Data Privacy Export or Export and Purge?

Yes, you can export BLOB data to an XML file. If you select the CSV file format for export, the BLOB data will not be exported.

How long will my exported data exist in Data Archive. Can I configure the duration?

Yes, you can configure the duration. Click
Administration
System Profile
Data Discovery Portal
Export Report Expiration Date
and enter the number of days that you want to retain the report.

In Review Data Privacy Validation, I see a mismatch in the actual and Data Vault row counts. Clicking on Approve returns an error. Why am I getting this issue? How do I proceed?

There is mismatch between the actual and Data Vault row counts. The index is not in sync with the data present in the Data Vault. Terminate the current Data Privacy job and run the Re Index on Data Vault standalone job. Go to the
Data Privacy Search
page, run the search. and schedule the job.

Are there words that I should not use as search subjects in Data Privacy Search?

The following list contains the words that will retrieve all records, much like %. Do not use these words as search subjects in Data Privacy Search.
