option for the Purge job, Data Archive adds the job to a batch that you can run at a later time. To run a batch of jobs, you can review the search subjects on the
Manage Data Privacy
page and then schedule the Data Privacy Batch standalone job.
To review the search subjects that you have added to a batch, click
Data Privacy
Manage Data Privacy
.
The
Manage Data Privacy
page opens. From this page, you can review all of the search subjects that you have added to a batch.
The search subjects that you have added to a batch are listed with the status "Not Executed." To remove any of these search subjects from the batch, click the
Delete
icon on the job row.
To purge the records, run the Data Privacy Batch standalone job. Click
Jobs
Schedule a Job
.
Choose
Standalone Programs
and click
Add Item
.
The
Select Definitions
window appears with a list of all available jobs.
Select
Data Privacy Batch
from the list of standalone jobs.
In the job parameters, select "Yes" if you want to refresh the materialized views related to the tables in the purge job. If you do not want to refresh the materialized views, select "No." This parameter is mandatory.
Schedule the job to run.
When you schedule the Data Privacy Batch standalone job, any Data Privacy batch jobs with the status "Not Executed" in the
Manage Data Privacy
page will be added to the current operation for batch processing. For example, if you previously added some Export jobs to a batch and their status is still "Not Executed," then Data Archive runs the Export batch jobs as well as any Purge jobs that you have added to a batch.
On the
Monitor Jobs
page, the Data Privacy Batch standalone job appears as "Completed." The standalone job triggers a Data Privacy Purge job, an Export job, and/or an Export and Purge job based on the types of jobs you have added to the batch.
The Data Privacy Purge job proceeds through the job steps, starting with a validate step. After the validate step, Data Archive pauses the job.
Before you can purge all of the records that you have added to a batch, you must review the Data Privacy validation report and approve or reject the records that will be purged. To open the Data Privacy validation report, click the
Review Data Privacy Validation
link in the job row.
You must review the validation report for every search subject in the batch job.
The
Review Data Privacy Validation Report
window opens.
Review the report details. Verify that the index row count matches the actual row count for each record.
To download a .zip file of PDF reports that list the data that the job will purge, click the
View Report
link for each search term. Data Archive generates a PDF report for each table.
To approve or reject the data for purge, select a report row and click the
Approve
or
Reject
button at the top of the report. Alternatively, you can click the green checkmark in the
Action
column to approve the records for purge or the red "X" to reject the records for purge.
After you approve or reject the records, the status column reflects the action you have taken. If you have not approved or rejected a record, the status remains as "No Action." You must approve or reject each record in the validation report.
After you have approved or rejected all of the records in the validation report, resume the batch job from the
Monitor Jobs
page.
Data Archive continues to the "purge" job step. During the "purge" job step, Data Archive both purges the data from the Data Vault and refreshes the indexes that are related to any purged tables. In the "delete report data" job step, Data Archive deletes the data generated in the validation step. If you selected to run the "refresh materialized views" job step in the Data Privacy Batch standalone job, the final job step will be "refresh materialized views."
